Humana Moves 13,000 Employees to Google Workspace for Enhanced Security & Productivity

Humana is a leading Nordic care company providing services within individual and family care, personal assistance, elderly care and special service housing. Humana has 22,000 employees in Sweden, Norway, Finland and Denmark providing care for approximately 10,000 individuals and working to achieve the vision “Everyone is entitled to a good life”. In 2023, Humana’s net revenue was SEK 9,638m. Humana is listed on Nasdaq Stockholm and the company’s headquarters are located in Stockholm.

The Challenge

Due to a distributed workforce across the Nordic region, Humana’s existing system could not sufficiently enable efficient team collaboration, which limited their overall productivity. Additionally, backend employees handled a lot of sensitive customer information, which led to data security concerns. The company needed a secure and  reliable collaboration platform where employees across business units could safely share and edit confidential documents.

I am happy to share that we have seamlessly completed our migration of 13,000 employees to Google Workspace with the help of the Onix team. Our goal with the move to Google was to enhance security and productivity, and I am confident that we will achieve that.

The Solution

In partnership with Onix, this healthcare provider successfully implemented a secure and productive cloud-based solution powered on Google Workspace. This project involved migrating almost 13,000 employees (55 million emails, 5.5 million documents and 4.5 million calendar items, 22TB in total). Key elements of this solution included:

  • One-click access: for their employees, including management teams, back-office staff, and on-field healthcare workers, to Google Workspace collaboration tools including Gmail, Google Docs, Google Calendar, and Google Drive.
  • IT security and resilience: for employees handling sensitive data, and providing them with an easy, intuitive tool to share information in a safe mode.
  • Smooth onboarding: including change management initiatives, employee training, and pilot programs to implement the transition to the new cloud-powered platform.
  • Leveraging the existing systems: by refurbishing legacy computers and providing an additional security layer with Google Chrome.

Outcomes

  • Enhanced IT Security Posture: with zero CVEs in Google Workspace over the past 3 years.
  • Improved productivity: on an easy-to-use tool like Google Workspace – thus leading to lower training requirements and costs, a reduced number of help desk tickets, and a more engaged and productive workforce.
  • Environmental sustainability: in association with an eco-friendly company like Google, commitment to clean energy, and extended life span of devices by using Google Chrome OS, which reduces the environmental impact.
  • Improved collaboration: across all Nordic employees, thus providing them ample time to focus on patients instead of administrative work.
  • Minimal disruption: high adoption rate of the tools at Go Live allowed for a seamless transition to the new platform across three regions with minimal business disruption.

Conclusion

The Onix team enabled Humana to have a seamless transition and high adoption rate of the Workspace productivity tools. The business disruption was minimal due to the preparation for employees during the transition by means of training material and consulting provided by the Onix team. The transition to Google Cloud allowed the organization to put people at the heart of digital transformation and support them with better cloud technology.
